Conclusion first
It is recommended to place a "Summary Log" on the inside of the lighting ready board door, but the entire paper record book cannot be placed; The complete original records must be electronically archived in the background, and the two must work together to adapt to the high temperature, sandstorm, and humid outdoor ready board scenarios in rural Africa (which can be directly adopted by Eskom projects).
Idea: Place a simplified resume summary card inside the lighting ready board (pasted on the inner door) to facilitate maintenance personnel to see the history of repairs/replacements/tests at first glance when opening the box; The detailed original record sheet should not be left in the box for a long time to avoid paper damage caused by rainwater, condensation, dust, and high temperature.
1、 What to stick on the inside of the box door (recommended solution)
1) Maintain resume card (PVC/UV coated PET synthetic paper label, heat transfer printing)
It's not a whole notebook, it's a fixed adhesive hard label, pasted on the flat area inside the box door, avoiding wiring, switch heating areas, and placed together with the single line diagram. Resume card fields (English, suitable for South Africa/Africa projects)

Material selection (key for outdoor use in Africa): Base material: PET polyester or UV coated vinyl/PP synthetic paper, with UV protection layer, resistant to sand and dust, high temperature (can reach 70-80 ℃ when exposed to sunlight inside the box), condensation; Ordinary copperplate paper and ordinary stickers fade, bubble, and peel off within a few months. Adhesive: Outdoor permanent acrylic adhesive, suitable for spraying the surface of the box.
Function: Maintenance personnel can open the box and see the last maintenance time, what components have been replaced, and the grounding/insulation test results at a glance, without the need to check the backend system; This is an abstract, not a complete record.
2) Supporting: A small transparent waterproof label bag can be installed inside the door of the lighting ready board (optional)
If it is necessary to keep the paper form on site: use a hard PC transparent waterproof bag riveted on the inside of the box door, do not just stick it with glue. Only the current inspection form is placed in the bag. After each inspection is completed, the old documents are taken away for filing, and only the latest one is kept in the box. Long term storage of multiple pages of paper is strictly prohibited: condensation and sandstorms during the rainy season in Africa can cause paper to mold, stick, and smudge handwriting; Once water enters the box, all records will be directly scrapped.
2、 How to keep complete maintenance records (main archive plan, Eskom audit requirements)
Dual track system: on-site summary card+complete electronic files in the background
1. On site inspection/maintenance original records: Maintenance personnel fill out paper record forms on site, take photos, bring them back to the office for scanning and archiving, and store the paper originals in a centralized manner;
2. Electronic ledger (CMMS/Excel/Simplified Asset System)
Each ready board has a unique asset ID, which includes photos, inspection records, insulation resistance, grounding resistance, circuit breaker testing, prepaid meter parameters, replacement component models, and fault events;
An additional QR code can be printed on the interior door record card: scan the code to directly retrieve the complete historical records of the ready board (when network access permits);
3. Shelf life: Low voltage distribution equipment, at least 5 years; Submit complete electronic files during project handover, acceptance audit.
3、 Not recommended: Reasons for permanently pasting/placing the entire paper record book in the lighting ready board (pain points in rural environments in Africa)
1. During the day, the box is exposed to high temperatures and temperature differences between day and night, making it prone to condensation. The paper inside the box becomes damp, moldy, and the handwriting becomes blurry;
2. Dust continues to enter the box, causing wear and tear on handwritten handwriting; Insects and ants destroy paper;
3. The door of the box is repeatedly opened and closed, causing friction and making it easy for the notebook to fall off; Once the seal of the box door fails and water enters, all historical records will be lost;
During the audit, Eskom requires traceable and verifiable original files, and damaged handwritten paper inside the box is difficult to use as valid evidence.
4、 Required content for maintenance records (applicable to rural lighting ready boards in Africa, including prepaid electricity meters)
Each inspection/maintenance must record:
1. Equipment ID, location, date, and maintenance personnel;
2. Sealing, door locks, and corrosion of the box body;
3. Grounding resistance and insulation resistance test values;
4. Circuit breaker and leakage protection action test;
5. Prepaid electricity meter status, communication, STS token function;
6. Terminal torque inspection, check for heating and oxidation;
7. Replace the component model and batch;
8. Identify defects, take corrective measures, and schedule the next scheduled inspection;
9. Signature.
5、 Practical suggestions (project implementation)
1. Inner layout of the box door: single line system diagram+maintenance history summary card, arranged side by side, away from heating elements;
2. Leave blank lines on the resume card, and use an oil-based marker to fill them out during each maintenance; When the upper limit of the number of rows is reached, replace the label directly with a new one;
3. Each box asset QR code is printed on the resume card, and the mobile end scans the code to enter/view the complete record;
4. The operation and maintenance SOP stipulates that only a summary shall be kept inside the box, and detailed records shall be taken on-site and brought back to the headquarters for filing.
